Viewing the Electronic Whiteboard

The Whiteboard provides a centralized view of patients’ treatment schedules and statuses and acts as a key entry point for ordering and editing treatments. The window is accessed from any workstation and can also be displayed on a second monitor.

Viewing the main grid

Navigate to the whiteboard using either:

  • Toolbar > Electronic Whiteboard.
  • Patient Clipboard > right-click patient > Electronic Whiteboard > Whiteboard.

Sort and filter options

The top of the window displays information based on the selected sort, date, and available view filters. Use any of the fields to modify the Whiteboard display.

Field/OptionDescription
SortSelect a different sort of the Patients column: Patient Name, Client Name, Reason for Visit, Check in Date/Time, Doctor, Status or Treatments for Hour.  
DateChange the date for treatments to display, by using either single arrows to move back or forward by a day, typing a date or F2 to select from a calendar. If the date is yellow, it indicates the date displayed is different than the current system date.   
Go to Now Resets the grid to the current hour and day. The current hour column header displays in bold black text on a yellow background with Now displaying to the right of the hour.
ShowingDisplays all currently selected filters for Practice (Multi-Location Single Database only), Ward/Loc, Area and Doctor. 
Edit Set filters for ward/location, area or doctor to narrow the list of patients on the Whiteboard. A practice filter is also available for MLSD configured practices. 
Show All Reset the filter criteria to display all patient treatments within the given time frame.   

Left side of the Whiteboard window

The left side of the window displays all patients marked as inpatient when checked in or added manually to the whiteboard. Discharged patients may also display, based on default settings. A right-click menu is available to access Whiteboard functions and windows.

Note: The number shown in parentheses at the top of the Patients column indicates the current number of patients on the Whiteboard. Any currently selected filters may affect the number shown. Depending on the size and orientation of your monitor, there may be more patients on the Whiteboard than can be displayed vertically in this column at one time. This indication of the total number of patients serves as a reminder that you may need to use the scroll bar to view additional patients at the bottom of the list.

Center of the Whiteboard window

The center of the window displays the scheduled orders/completed treatments in an hourly grid format. Double clicking any cell within the grid will open the patient’s corresponding treatment window.

Whiteboard grid hour columns

The Whiteboard grid’s hour columns display based on the option set in Whiteboard default settings:

  • The current day only.
  • The current day with 3 hours added for the previous and next days. If set as such, Previous and Next links are available when you scroll horizontally to the outer limits of the 24 one-hour columns. You can click the appropriate link to move the grid columns to change the date and display the hours for the previous day or next day.

    Tip: Click Go to Now to the right of the date field to quickly reset the grid to the current hour and day.

Treatment blocks

Patient treatment blocks include detailed information on each treatment scheduled for the time block. The treatment lines listed within a block are displayed according to the numbering set within the Patient Orders window. 

Color coding indicates the status of each treatment line.

If a treatment’s start time was set up to use an incremental (by minute) time (10:15 AM, 2:30 PM, and so on) on the Patient Orders window, the incremental time displays at the beginning of that individual treatment line within the block. Example: If a fluid therapy is scheduled to be performed at 8:30 AM, the patient’s treatment block in the 8 am column will display :30 Fluid Therapy.

Notes:

  • If an incremental time is specified, the treatment line turns red (overdue) on the Whiteboard when that specific time passes, not at the end of the hour. Non-incremental treatment times turn red at the end of the hour.
  • Orders with a quantity less than 1 will be displayed with a leading 0 (e.g., 0.2).

Right side of the Whiteboard window

The right side of the window displays patient and whiteboard alerts, based on patient prompt and whiteboard alert settings.

Types of alerts can include:

If more than three alerts exist for a patient, a down arrow indicates there are more alerts to view.

  • Hover the mouse pointer on the alert block to view the patient’s full alert list in a popup window.
  • Click Edit or enter alert to open the patient’s Alerts list to add, remove and order displayed alerts.

Note: Alert text displays in red, unless it is a Patient Prompt Alert that has been assigned a different color. Colors can be changed by accessing the prompt in Controls > User Defined Prompts > Patient.

Working with patient alerts on the whiteboard

Depending on your setup, the Alerts column may display alerts automatically when a patient is initially placed on the Whiteboard. You can also manually enter patient Whiteboard alerts, edit a manually entered alert, change the alert display order or remove alerts by navigating to either:

  • From the Whiteboard (main grid) window, click anywhere in a patient’s Alerts block.  
  • In the Patient Orders window, click the blue edit link. This link is located to the right of the Alerts field.
      

Add an alert

  1. Select the alert from the drop down or manually enter an alert in the text box. A maximum of 20 alphanumeric characters/spaces can be entered.
    Note: Alert type will display as Manually entered.
  2. Click Add.
  3. Continue as needed for additional alerts.
  4. Click OK to exit the alert list.

Edit a manually entered white board alert

  1. Select a manually entered alert in the list and click Edit.
  2. Make changes to the text to display for the alert and click OK.
  3. Continue as needed for additional editing.
  4. Click OK to exit the alert list.

Reorder whiteboard alerts

  1. Select an alert in the list and use the onscreen arrows to move it within the list.
  2. Continue as needed until all alerts reordered appropriately.
    Tip: The most important alerts should be at the top of the list.
  3. Click OK to exit the alert list.

Remove a Whiteboard alert

  1. Select an alert in the list and then click Remove.
  2. Continue as needed for additional alert removals.
  3. Click OK to exist the alert list.

Using a second monitor

Have the Whiteboard main grid display on a second monitor, such as a larger flat screen monitor, so the information is always visible in your treatment area. Requires second monitor to be connected to the same workstation.

Navigate to Activities > Electronic Whiteboard > Whiteboard (second monitor).

A copy of the Whiteboard grid displays on the main monitor.

  1. Drag the Whiteboard grid copy so it displays on the second monitor.
  2. Click its Maximize button in the top right corner of the window.
  3. Continue to access and use all Whiteboard windows on the main monitor.

If staff right-click and select an option on the second monitor’s Whiteboard, that window will open on the main monitor. The second monitor is used as a view only.
