Vaccine tag and rabies defaults

Set vaccine tag defaults to specify required fields, designate a custom rabies certificate, and set default tag number settings to be used in the Vaccine Tag window when issuing a rabies/vaccine tag for a patient. These global Vaccine Tag defaults apply to all vaccine tags, including rabies.

Before you start

  • Set Security access to Defaults – Practice, Species List, Species Setup dialogs

Setup vaccine tag defaults

  1. Select Warn User on Duplicate Tags if you want to display a warning if a duplicate tag number is entered in the Vaccine Tag window when issuing a tag,
  2. Select Require expiration date and lot number to require the expiration date and lot number be entered in the Vaccine Tag window.
  3. Select Require manner of administration/years to require the information to be entered in the Vaccine Tag window.
  4. Select Custom rabies certificate and enter the document ID or F2 to search and select your custom rabies certificate if using a document other than the standard rabies certificate in Cornerstone.
  5. Specify the Number of copies of rabies certificates to print. This applies to either default or custom rabies certificate and this setting can be changed at print time if necessary for custom certificates.
  6. Multi-Location/Single Database configuration only: select the practice to specify prefix, last used tag and staff settings for each practice. Click Apply after entering settings for each practice.
  7. Specify a default prefix (up to five characters), if applicable. EX: If your rabies tag starts with the year.
  8. Enter/modify the Last used tag number to automatically generate tag numbers that will increment by one from last number issued.
  9. Select a Staff for tag option to display by default in the Vaccine Tag window when issuing a tag.
    • Billing Staff: staff ID listed for the line item on the PVL or invoice.
    • Always Use This Staff: specify the Staff ID or f2 to search and select from your staff list.
    • None: no default staff, require staff ID entry at time of use.
  10. Click Apply to save your changes and continue setting defaults or click OK to save your changes and close the window.

Vaccine tag default information

When issuing a tag, Cornerstone looks for vaccine information defaults in the following order:

  1. Invoice item settings, either from the Vaccine tab or linked Inventory Item: Lists > Invoice Item > search and select invoice item > Update. If no settings exist, then
  2. Species-specific rabies tag defaults: Lists > Species > select species > Update > Rabies Default. If no settings exist, then
  3. Rabies default settings: Controls > Defaults > Practice and Workstation > Vaccine Tag > Rabies Default

The setup you choose is dependent on your practice’s preference and vaccine utilization:

  • If your practice uses the same vaccine inventory for multiple vaccination schedules and/or species, it is recommended to use service invoice items for billing and reminder history with a linked inventory invoice item to manage vaccine details. This setup also benefits practices that may have multiple lots/expiration dated vaccines in use. This setup is recommended for all types of vaccinations including rabies. Lot and expiration information are updated when new inventory is received or upon issuing the vaccine tag. See the Invoice item setup article for more details.
  • If your practice uses different rabies vaccines for species, but only has one lot/expiration date in use at a time, you may elect to use the rabies defaults by species. Vaccine details are updated when the next lot/expiration dated bottle is in use.
  • If your practice uses the same rabies vaccine for all species, you may elect to use the rabies default by practice. Vaccine details are updated when the next lot/expiration dated bottle is in use.

Setup species rabies defaults

  1. Lists > Species.
  2. Select the applicable species and click Update.
  3. Click Rabies Default.
  4. Enter the vaccine Brand and Producer/Mfr information for the vaccine used most often for the selected species.
  5. Enter the current vaccine lot number.
  6. Specify the expiration date for the vaccine lot.
  7. Specify the number of years the vaccine is viable (the certificate expiration).
  8. Select the appropriate Manner of administration.
  9. Select the vaccine type (Killed or MLV).
  10. Enter a Staff ID or F2 to search and select a staff member from the Staff List, if appropriate to have a default staff appear on rabies certificates.
  11. Click OK to save the rabies tag settings and return to the Species list.
  12. Repeat steps as needed for additional species.

Setup practice rabies defaults

  1. Controls > Defaults > Practice and Workstation > Vaccine Tag > Rabies.
  2. Enter the vaccine Brand and Producer/Mfr information for the vaccine used most often in your practice.
  3. Enter the current vaccine lot number.
  4. Specify the current expiration date for the vaccine lot.
  5. Specify the number of years the vaccine is viable. This would be when the certificate expires.
  6. Select the appropriate Manner of administration.
  7. Select the vaccine type.
  8. Enter a Staff ID or F2 to search and select a staff member from the Staff List, if appropriate to have a default staff appear on rabies certificates.
  9. Click Apply to save your changes and continue setting defaults or click OK to save your changes and close the window.
