Add and manage patient referrals from several windows in Cornerstone, send referral documents, review referral sales.

Using referral relationship management

Referral information can be accessed, viewed, and updated for patients in the following areas of Cornerstone:

  • Patient information window
  • Patient Clipboard
  • Check in/out window

Patient information window

In addition to viewing and updating existing referral information, new referral doctors for a patient can also be added to the Patient information window.

Navigate to Patient Clipboard > Enter a client ID > Right – click on a patient > Update > Referrals.

The Patient Information window’s Referral tab allows you to view referral veterinarians (RDVM) and hospitals for this patient and the patient’s referral history.

  1. Identify RDVMs associated with this patient.
  2. Specify a primary RDVM to be associated with this patient in the following places:
    • Patient Clipboard
    • Referral History
    • When managing rVetLink referrals
    • Referral revenue reports
      Note: Specifying the RDVM also enables document bookmarks for referral information.
  3. Check This Visit to specify if the RDVM(s) should be included on faxes and emails associated with this visit.
    • The check box is automatically selected for the primary RDVM. It can be cleared if the client has requested that the primary RDVM not receive communications.
  4. Click on View Referral History to view the RDVM history for the patient.
    Note: When viewing the Referrals tab in Referral History view, click view RDVMs for this patient link to switch the tab to Patient RDVMs view.
  5. View communication preferences for a selected RDVM and hospital and associated contact information. Use the scrollbar on the right side to scroll through available communication preferences.
    • Personal: Displays the RDVM’s personal communication preferences.
    • When at [hospital name]: Displays the RDVM’s communication preferences when at the hospital selected above.
    • Hospital: [hospital name]—Displays the selected hospital’s communication preferences.
  6. Click View Details to view detailed contact information for the doctor or hospital.

Patient clipboard

In addition to an updated layout to accommodate quick “at a glance” scanning, the Patient information area displays the patient’s primary RDVM and a link to view(or add) more RDVMs for this patient.

  1. Lists the patient’s current RDVMs and their associated hospitals.
  2. Provides quick access to detailed referral information and contacts for this patient with the right-click menu.
  3. When an RDVM is selected on this tab, the associated communication preferences are listed in the box at the bottom of the tab:
  4. Use the scrollbar on the right side of the box to scroll through the available communication preferences.
  5. Click the view details link to access detailed contact information.

Note: The communication preferences displayed here vary depending on the Patient Clipboard display preferences selected for the RDVM on the Personal Information tab in the Doctor Information window.

Check-in/out window

On the Patient Check-in/out window, if a primary RDVM has been assigned for this patient, the RDVM is listed. In addition, an add/edit RDVMs link opens the Patient Information window’s Referral tab.

Navigate to Patient Clipboard > Select a client > right click on a patient > Check-in.

  • Click add/edit RDVMs to access and update RDVM information.
  • Select Referral Recheck in the Patient Check-in/Out window, if this patient is not a new referral patient. This will help you track your referrals appropriately in reports.

Set up a referral letter/documents

Referral documents establish good communication with your referral providers.

  • Use the Cornerstone Editor to create a document template for your referral letter.
  • Set the type to Correspondence so that a record of the document is saved in the patient’s history. Once the Correspondence type is selected, specify how the document will be saved.
    • Title Only: This option saves only the title in the patient history. This option could be used when no patient findings, results, or other information is included in the letter. Saving as Title Only, when appropriate, can help conserve hard drive space on your system.
    • Document: This option saves the entire document in patient history. This option would be used when patient findings, results, or other information is included in the letter. In this case, saving the entire document in history is preferable so it can be referred to later if needed.
  • Add bookmarks to have letters automatically complete with the correct information from your Cornerstone database.
    Example: Client name, patient name, etc.

Send referral letters/documents

Navigate to Patient Clipboard > Select a client > right click on a patient > Correspondence.

  1. Follow the steps in Adding a document to a patient record to create the referral letter for the patient and fill out any additional details in the document.
  2. Click Email/Fax. Click Yes on the message to continue sending the letter.
  3. Make changes, as needed, in the communications window and click Send.

View open referral documents

Referral documents that have not been finalized can be easily viewed, updated, and finalized from the Correspondence tab on the Daily Planner.

Tracking referral sales

Navigate to Lists > Referrals.

  1. Select Doctors or Hospital, depending on the type of data you want.
  2. Click Update, then click the Sales tab. The monthly sales history will display.

Sales information is also available in referral revenue reports.
