Completing scheduled whiteboard treatments

Mark scheduled treatments as Completed or as Did Not Perform. Treatments can be marked individually or as a batch under the same performing Staff ID. Completed treatment items are automatically placed on the Patient Visit List (PVL) to be invoiced and saved in the patient’s history as a date/time stamped whiteboard medical note. Completed treatments can also be reversed if marked complete in error.

  1. In the Patient Treatments window, do one of the following in the corresponding time column:
    • Double-click the treatment block to select a single treatment.
    • Use Shift or Ctrl + click to select multiple sequential or non sequential treatments, and then right-click > Process Selected Treatments
Note: Multiple treatments processed at one time must all be processed under the same staff member.
  2. Enter the staff ID of the person performing the treatment and press Tab. This staff member is recorded with the treatment in the patient’s history.
  3. Select one of the following options:
    • Completed: Indicates the treatment has been provided for the patient. The charge for a completed treatment item is placed on the Patient Visit List unless it is a nonbillable item.
    • Did not perform: Indicates the treatment was not provided. Any treatment marked as Did not perform that has a comment entered in the Medical note area is saved to the patient’s history with the description DNP. The item’s description and the words Whiteboard Note are also saved.
  4. Click the note icon to left of the treatment description to see any special orders, if needed.
  5. Select one of the following for the treatment activity:
    • Display using scheduled time: Use the scheduled time for the whiteboard medical note entry and PVL entry.
    • Display using completed time Use/enter the actual time for the whiteboard medical note and PVL entry.
      • The current system date and time are displayed by default.
      • If this option is selected, adjust the date and time of completion in the boxes as needed.
  6. Enter any specific details regarding the treatment in the Medical note area.
    • This information, along with the providing staff member’s name, displays in patient history unless the Save to history checkbox is cleared.
    • If this was a treatment that was marked as ‘did not perform’, and staff would like to include it in medical history, a medical note must be entered.
Note: this information may be set as required.
  7. In the Items area, make changes to any listed invoice items as needed.
    • These charges are sent to the Patient Visit List. Add additional items as needed.
Example: a ‘monitor fluids’ non-billing treatment is being completed, and a new bag is started for the patient. Add the bag charge at time of completing the treatment.
  8. When all the information for this treatment order is filled in, click OK.
  9. Based on order and item settings any of the following may occur:
    • If the order has the Vital Signs Prompt option selected, the Vital Signs window opens.
      • Enter the patient’s vitals and click OK. Verify,/select the recording staff member. Click OK to save the information and return to the Vital Signs window.
      • Close the window and return to the Patient Treatments window.
  10. If the billing item has special actions, such as a lab or image request or a prescription label:
    • Select Process to complete the action or click Continue to complete the action from the PVL or invoice at a later time.
  11. If you selected multiple treatments to be completed, the next selected treatment order displays with the previously entered staff ID, status and time filled in. Make any necessary changes to the treatment details, medical note or billing item(s) and then click OK.
  12. Once all treatment information has been filled in, the completion area closes.
  13. The treatments are marked as Completed or DNP (Did Not Perform), the charges (completed treatments set as billing items) are transferred to the Patient Visit List, and the medical notes are recorded.

To view or print a list of patient treatments that are scheduled, completed or not performed, generate a Whiteboard Patient Treatment Report. Note: This report is only available for patients currently on the Whiteboard.

Undoing a patient treatment

Patient treatments that have been marked Completed or Did not perform can be reversed using the Undo feature on the Patient Treatments window.

  1. On the Patient Treatments window, double-click the time slot for the completed or not performed treatment to undo.
  2. Click Undo in the completion area displayed at the bottom of the window.
  3. In the Staff ID box, enter the staff ID.
  4. In the History reason area, enter the reason for reversing the treatment’s status. This reason will be appended to the original Whiteboard medical note.
  5. Click OK to process the change and return to the Patient Treatment window.
  6. The treatment is changed back to its original status and the PVL will display a reversed charge for the undone treatment.
