Rabies vaccines and certificates
The Vaccine Tag special action is used to enter tag information and print a rabies certificate. When used for all vaccines, it creates an electronic vaccine sticker that is displayed along with rabies information under the Tags/Microchip ID tab of the Patient Clipboard.
Dispensed tags appear on the Rabies Tag and Vaccine Tag reports (all vaccines, including rabies).

Setup
- Vaccine items, including the vaccine tag special action. Display on Vaccine Tab recommended.
- Vaccine tag defaults
- Rabies defaults (global or per species), if not using an inventory item for vaccine information.
- These setups may be needed, based on use of default or custom rabies certificate:
- Custom rabies certificate created and linked in Vaccine Tag defaults, if using.
- Printer assignment for Rabies Certificate (Default), under General Reports.
- Staff license number added in staff information.
Important!
- The only way to issue a new rabies/vaccine tag and rabies certificate is by using invoice items set up with the Vaccine Tag special action.
- When populating fields on the Vaccine Tag window, default vaccine information is checked in a particular order.
- The order depends on if the vaccine invoice item (or its linked item) is an Inventory or a Service item.
- See the defaults section in Additional Information, for details.
What is included in a rabies certificate
- Practice header name, address, phone
- Client ID, name, address and phone number.
- Patient ID, name, species, breed, sex, color, markings, birthday, weight, and microchip ID.
- Vaccine tag number and vaccine name. a
- Vaccine producer, brand, type (killed, MLV, etc.), and manner of administration.
- Vaccine given and expiration dates.
- Vaccine lot number and inventory expiration date.
- Doctor name and license number
- Picture of the patient: If selected in the Workstation defaults and the patient’s record has a pet picture.
The above fields are available as document bookmarks to create a custom certificate.

Issue a new tag
Navigate to Patient Clipboard > right-click patient > Patient Visit List or Invoice

- Enter the item ID or F2 to search and select from the invoice item list. Vaccines are typically setup as service items.
- If the Vaccine Tag window does not display automatically, Click the Special button, select Vaccine Tag, and click Process.
- For the tag number, do one of the following:
- Enter the tag number, up to 20 characters, or the initials, for non-rabies vaccines. Example: FELV
- A tag prefix may also display, based on vaccine tag defaults. Modify the prefix if needed, up to 5 characters.
- Click the Increment Tag button to use the next available tag number, based on last used tag number.
- Leave blank and enter a tag number later. A prompt for entry will display when posting the invoice.
- The vaccine tag number displays as NONE ENTERED in the Tags/Microchip ID tab.
Example: The medical team fills out the vaccine information and the tag number is entered at the front desk where the tags are kept.
- The vaccine tag number displays as NONE ENTERED in the Tags/Microchip ID tab.
- Enter the tag number, up to 20 characters, or the initials, for non-rabies vaccines. Example: FELV
- Enter or select vaccine information as needed.
- Lot number and Drug expires field use is determined by vaccine setup method:
- If fields are enabled: Enter or select the lot number and expiration date, if it is not prepopulated or the lot number/expire date are different than what is set in the default.
- if fields are disabled, the information is controlled by inventory details. Do any of the following:
- Fields are blank: Click the red question mark icon. Select or F2 and select the appropriate inventory details from the Loc ID field, and then click Verified.
- Change information in fields: Click the inventory icon; it might have a checkmark or a question mark. F2 and select the appropriate inventory details from the Loc ID field, and then click Verified.
- Location of injection, up to 25 characters. This information is retained with the vaccine details, but is not included on the certificate.
- Select Print certificate. This option is only for vaccines designated as a rabies tag. Click OK. The certificate prints to the assigned printer or the document opens in the Cornerstone Editor for printing, if using a custom certificate.
You may be prompted to add any manually entered lot/expiration date or manner of administration/Number of years for the vaccine item, based on your vaccine information setup.
For a list of issued rabies tags use the Rabies Tag Report. For all issued tags, including rabies, use the Vaccine Tag report.
Update a tag
Modify the tag number or vaccine information on an issued tag before the vaccine item has been invoiced. Once invoiced, the menu selection will display as Correct.
- Navigate to Patient Clipboard > Tags/Microchip ID tab.
- Right-click on the appropriate vaccine tag and select Update.
- Modify the tag and/or vaccine information.
- Select Print certificate, if applicable.
- Click OK.
- If selected, the certificate prints to the assigned printer.
- If using a custom certificate, the document will open in the Cornerstone Editor for printing.
Correct a tag
Modify vaccine information on an issued tag after the vaccine item has been invoiced. The menu selection will display as Update when correcting a tag before the vaccine item is invoiced.
Note: The tag number cannot be modified; changes to a tag number are performed as a reissue.
- Navigate to Patient Clipboard > Tags/Microchip ID tab.
- Right-click on the appropriate vaccine tag and select Correct.
- Modify the vaccine information.
- Select Print certificate. This option is only for vaccines designated as a rabies tag. Click OK. The certificate prints to the assigned printer or the document opens in the Cornerstone Editor for printing, if using a custom certificate.
Reissue a tag
Use reissue to replace a lost tag. The vaccine information remains unchanged and is applied to a new tag number.
- Navigate to Patient Clipboard > Tags/Microchip ID tab.
- Right-click on the existing vaccine tag and select Reissue.
- For the tag number, do one of the following:
- Enter the tag number, up to 20 characters, or the initials, for non-rabies vaccines. Example: FELV
- A tag prefix may also display, based on vaccine tag defaults. Modify the prefix if needed, up to 5 characters.
- Click the Increment Tag button to use the next available tag number, based on last tag number used.
- Enter the tag number, up to 20 characters, or the initials, for non-rabies vaccines. Example: FELV
- Select Print certificate. This option is only for vaccines designated as a rabies tag. Click OK. The certificate prints to the assigned printer or the document opens in the Cornerstone Editor for printing, if using a custom certificate.
The original tag number is voided, but can be viewed by clearing the “Hide voided tags” option on the Patient Clipboard Tags/Microchip ID tab. It can also be included or excluded from tag reports.
Add an existing tag
Enter tag information for patients when the tag was issued elsewhere, so it appears in their tags list and included in a patient search.
- Navigate using one of the following:
- Patient Clipboard > Tags/Microchip ID tab > right-click > Add Existing.
- When adding a new patient on the Patient Information window’s Information tab, click Add Existing Rabies Tag.
- Patient Clipboard > Tags/Microchip ID tab > right-click > Add Existing.
- Enter the Tag number, up to 20 characters, or vaccine initials, for non-rabies vaccines. Example: DA2PP
- Select This is a rabies tag, if applicable.
- Enter the tag expiration date or press F2/double-click to select the date using the calendar.
- Enter details, such as admin date, lot number and name of the issuing practice in the Comment field.
- Enter the staff ID or F2 to search and select from the Staff List as the Recording staff.
- Click OK.
Once added, the existing tag information displays under the “Tags/Microchip ID” tab on the Patient Clipboard. It can be used to search for a patient using their tag number.
Existing tag entries do not display on tag reports.
Void a tag
Void tags that were entered in error. View voided tags by clearing the Hide voided tags option on the Patient Clipboard Tags/Microchip ID tab. They can also be included or excluded from tag reports.
- Navigate to Patient Clipboard > Tags/Microchip ID tab.
- Right-click the appropriate vaccine tag and select Void.
- Click OK to acknowledge billing/inventory notification.
- Enter the staff ID or F2 to search and select from the Staff List as the Requested by staff.
- Enter reason for the void in the Comment field.
- Click OK.
Reprint a rabies certificate
If using the default certificate or a custom certificate set as a Print Only type document:
- Navigate to Patient Clipboard > Tags/Microchip ID tab.
- Right-click the appropriate vaccine tag and select View.
- Click Print. The certificate prints to the assigned printer or if a custom certificate is being used, the document opens in the Cornerstone Editor for printing.
- Click Close to return to the Tags/Microchip ID tab.
If using a custom certificate set as a Correspondence type document:
- Navigate to Patient Clipboard > select patient > Summary tab
- Locate the document in history, double click and click Print.
Tip: Use Find to locate the document by clicking the Text tab and search by document name.
Printing a rabies tag report
Use the Rabies Tag Report to create a list of rabies tags that have been issued by the practice when submitting rabies information to a local or state agency.
For all issued vaccination tags, including rabies, use the Vaccine Tag Report.
Note: Existing tags that are added manually do not appear on these reports.
- Navigate to Reports > Patient > Rabies Tag Report or Vaccine Tag Report.
- Select a sort order of Date Issued or Tag ID.
- Under Range, specify a range to narrow the list of rabies tags to include in the report. Example: date range.
- Click Preview or Print.
Additional information
General
- If the Vaccine Tag special action is set to Optional on invoice or Before invoice is posted, complete the tag by either:
- Clicking the Special button on the PVL or Client Invoice windows
- Completing the special action when clicking Post on the invoice
- Location of injection information only displays when viewing the tag information under the Tags/Microchip ID tab. It does not print on the certificate.
- Print certificate on the vaccine tag window is available if ‘rabies tag’ is checked on the vaccine tab of the item used to fill in vaccine information.
- Vaccine Tag window drop-downs will not display as expected if the selected patient is a different species than the species settings for the vaccine item. Example: DA2PP vaccine added to a feline’s Patient Visit List (PVL).
- When using a service item for billing and an inventory item is linked to it for vaccine tracking, the linked inventory item ID displays in vaccine tag window.
- If using vaccine tags for all vaccines and entering vaccine initials as the tag number, consider clearing the vaccine tag default setting for duplicate tags.
- This avoids a popup message at every tag entry.
- To catch true number duplicates, select the setting and train staff to click Yes on non-rabies vaccines.
- You can set the default number of copies of rabies certificates to print in Vaccine Tag defaults.
- Doctor license is set up under their staff information.
Voids and corrections
- Voids or corrections cannot be reversed if they are performed in error.
- Voided tags are included when performing a patient search by tag number.
- Voiding an invoice with vaccine items does not delete/void related tags.
Rabies vaccine defaults
- When populating fields on the Vaccine Tag window, default vaccine information is checked in a particular order. This is based on if the vaccine invoice item, or its linked item, is an Inventory or a Service item. This check order can help pinpoint when lot/expiration date information is not displaying as expected.
- If the invoiced item, or its linked item, is an inventory item, the check occurs in this order:
- Inventory item Vaccine tab settings: Lists > Invoice item
- Species Specific Rabies settings: Lists > Species
- Rabies default settings: Controls > Defaults > Practice and Workstation > Vaccine Tag > Rabies Defaults
- If the invoiced item is a service item, with no link to an inventory item, the check occurs in this order:
- Species-Specific Rabies Tag defaults: Lists > Species
- Rabies default settings: Controls > Defaults > Practice and Workstation > Vaccine Tag > Rabies Defaults
- If the invoiced item, or its linked item, is an inventory item, the check occurs in this order:
- If none of the above default settings have been specified, blank fields display on the Vaccine Tag window and require manual entry for each tag.
- Additional global vaccine tag defaults are available for both inventory and service item set ups to specify required fields, rabies certificate options, and other settings on the Vaccine Tag window.
- To determine which type of invoice item setup you are using for vaccine items:
- Navigate to Lists > Invoice Items.
- Search for applicable invoice items by Classification or Description.
- Note the item type: I for Inventory items and S for Service items.
Custom certificates
- To use a custom certificate instead of the default certificate:
- Create a document template using patient bookmarks for vaccine information. Add the staff signature bookmark, if using.
- Specify the certificate document in Vaccine Tag defaults.
- Custom certificates allow for electronic signature, selection of alternate printer and other print options at the time of printing or emailing of the certificate.
- Lot/expiration date information:
- Updating information is based on the item setup and default settings.
- If tracking lot/expiration date information on the item’s Vaccine tab:
- Manual entry of information in the Vaccine Tag window will prompt the user to add to the default of lot numbers and expiration dates.
- Add new lot/expiration date details to the Vaccine tab window, as needed.
- Remove lot/expiration date entries, as needed, by pressing Ctrl + D.
- Manual entry of information in the Vaccine Tag window will prompt the user to add to the default of lot numbers and expiration dates.
- If tracking lot/expiration date information on the item’s Inventory tab:
- Receive new inventory and enter the receipt details for new lot/expiration date information.
- Edit existing information using the View Quantity on Hand window for lot/exp entry errors.
- Navigate to Inventory > View Quantity on Hand
- If using a service item only, update the lot number and expiration date information based on the species or global default settings.
- Species specific: Lists > Species > select Species > Rabies Default
- Global: Controls > Default > Practice and Workstation > Vaccine Tags > Rabies
Defaults
- When using multi-location inventory (MLI) a prompt to change the depletion location may display, based on billing staff inventory default settings.
- Review and modify the location the item is being depleted from on the inventory details window located on the:
- Vaccine Tag window
- Truck column on the Patient Visit List (PVL) or invoice.
