IDEXX reference lab requests

Using requests to place lab orders enables two-way connection between Cornerstone and VetConnect PLUS to run the correct tests and capture lab charges from multiple workflow types.

  • The following process requires that the invoice item be linked to the requested profile and that the Use special actions is selected in the Lab Information window for the IDEXX Reference Laboratory.

Benefits and workflow overview

Benefits

There are several benefits of using lab requests for IDEXX Reference laboratory.

  • The client will automatically be billed for the requested laboratory work.
  • The ability to view, edit, add to, and delete pending laboratory requests.
  • Results are automatically imported into the patient’s medical record. 
  • The ability to view IDEXX Reference and IDEXX in house test results within VetConnect PLUS. 

Workflow

An IDEXX Reference Laboratory request can be placed using any of these workflows:

  • Charge entry: Adding lab items to Patient Visit List (PVL) or invoice
  • Special action processing through any of the following:
    • Finalizing an estimate
    • Completing a Whiteboard order
    • Saving a document with lab invoice items (transferring to the PVL)
  • Lab Request from either:
    • Patient Clipboard > right-click patient > Lab > New Lab Request
    • Toolbar > Lab Requests and Results > New > Enter patient and client.

Note: For charge entry and special action processing workflows, the following must be setup before using:

  • Use special actions needs to be selected in the Lab Information window for the IDEXX In-clinic Laboratory: Activities > Lab Work > Laboratories > IDEXX > Update.

  • Lab invoice items need to be setup with the lab special action.

Charge entry workflow

Use the following workflow when adding lab items to Patient Visit List (PVL) or invoice.

Note: The order confirmation window opens after lab items are added to the Patient Visit List (PVL) or invoice and it is saved/posted.

  1. Enter the invoice item ID for the test(s) being requested with the appropriate doctor Staff ID. The entered staff will display on the laboratory results. A prompt for a patient birthdate/age may display and is required to place an IDEXX Reference lab request.
  2. When all items have been entered, click OK (PVL), Save or Post (invoice).
  3. Verify all requested items are on the order in the confirmation window. Then do any of the following as needed: 
    • Click Specimen Details for profiles containing a urinalysis, cytology, or a biopsy. Enter the required information and click Done.  
    • Click Notes to enter additional information, reference previous tests or to mark this as an urgent request, and then click Done.  
    • Modify the ordering Veterinarian. 
    • Add additional tests to your order: 
      • Click the Add-Ons Available link. 
      • Select from Frequent or Saved test lists (tabs). 
      • Search for tests from the Browse All tab. 
    • Remove a test from the order by hovering over it and then click .
  4. Click Order
  5. In the Print Lab Request window, do one of the following:
    • Click Print to print the IDEXX Reference Laboratory bar code form and any specified labels. Adjust the number of copies as needed.
    • Click Preview to review and then print the IDEXX Reference Laboratory bar code form and any specified labels.
    • Click Close to not print any specified forms or labels.

Any additional tests added to the order will have charges sent to the Patient Visit List. If any originally ordered tests were removed, or the ordering veterinarian changed, verify your PVL/invoice is correct. 

Once requests are placed, they can be tracked from the Lab Requests and Results window or the Daily Planner Diagnostics tab

Special action processing workflow: Estimate, whiteboard order, document

  1. Use any of the following methods to initiate the Special actions window:
    • On a Medical Note, in the Invoice Items tab, enter the invoice item ID(s) for the lab test(s) being requested with the appropriate doctor Staff ID. The entered staff will display on the laboratory results. Save/finalize the medical note to send items to the PVL.
    • On an Estimate, in the Item ID column, enter the invoice item ID for the test(s) being requested with the appropriate doctor Staff ID. The entered staff will display on the laboratory results. Finalize the estimate manually or with an electronic signature to send items to the PVL.
    • On the Electronic Whiteboard, place an order for the test(s) being requested. Complete the ordered treatment, enter any additional Whiteboard medical notes, and click OK to send items to the PVL.
  2. A special action window with a Lab Request action for IDEXX appears. Highlight the lab request action in the list and do one of the following:
    • Select Process* to complete the laboratory request. Note: lab requests display with their associated Lab ID.
    • Select Continue or Close to perform the Lab Request later from the Special button on the Patient Visit List.
      *If completing more than one lab request based treatment at one time, click Continue per request and process the last treatment to have a single order confirmation window.
  3. When processing the special action, verify all requested items are on the order in the confirmation window. Then do any of the following as needed:
    • Click Specimen Details for profiles containing a urinalysis, cytology, or a biopsy. Enter the required information and click Done.
    • Click Notes to enter additional information, reference previous tests or to mark this as an urgent request, and then click Done.
    • Modify the ordering Veterinarian.
    • Add additional tests to your order:
      • Click the Add-Ons Available link.
      • Select from Frequent or Saved test lists (tabs)
      • Search for tests from the Browse All tab.
    • Remove a test from the order by hovering over it and then click .
  4. Click Order. The special action box displays a teal check mark next to the Lab Request IDEXX action; click Close
  5. In the Print Lab Request window, do one of the following:
    • Click Print to print the IDEXX Reference Laboratory bar code form and any specified labels. Adjust number of copies as needed.
    • Click Preview to review and then print the IDEXX Reference Laboratory bar code form and any specified labels.
    • Click Close to not print any specified forms or labels.

Request entry workflow: Patient Clipboard or Lab Requests and Results window

Navigate to one of the following:

  • Patient Clipboard > right-click patient > Lab > New Lab Request.
  • Toolbar > Lab Requests and Results > New > Enter patient and client.
  1. Select IDEXX from the Lab drop-down list.
  2. Select or change the staff ID, as needed. The entered staff will display on the laboratory results.
  3. Click Continue.
  4. In the confirmation window, add tests by any of the following:
    • Select from Frequent or Saved test lists (tabs)
    • Search for tests from the Browse All tab.
    • Click the Add-Ons Available link. Available add-ons are based on tests already selected in the order window.
    • Click Specimen Details for profiles containing a urinalysis, cytology, or a biopsy. Enter the required information and click Done.
    • Click Notes to enter additional information, reference previous tests or to mark this as an urgent request, and then click Done.
    • Remove a test from the order by hovering over it and then click .
  5. Click Order.
  6. In the Print Lab Request window, do one of the following:
    • Click Print to print the IDEXX Reference Laboratory bar code form and any specified labels. Adjust the number of copies as needed.
    • Click Preview to review and then print the IDEXX Reference Laboratory bar code form and any specified labels.
    • Click Close to not print any specified forms or labels.

The order is placed, and charges are added to the Patient Visit List.

Once requests are placed, they can be tracked from the Lab Requests and Results window or the Daily Planner Diagnostics tab.
