Check in and check out boarding reservations

Learn how to check in and out boarding reservations, grooming appointments and how to print boarding documents.

Important!

  • Reservation types that use the booking method of Daycare Style must be checked in and out the same day.

Check in a boarding reservation

Navigate to Toolbar > Reservation list.

  1. Locate the reservation in the Reservation List.
    • If needed, in the Client ID field, type the ID of the client whose reservation should be checked in or press F2 to select from a list. A list of all of the client’s reservations is displayed.
  2. Do one of the following:
    • Right-click on the reservation and click Update from the menu.
    • Click (highlight) the reservation and click the Update button.
  3. Make any necessary changes to the reservation information, boarding instructions, grooming appointment(s) and boarding items.
    Note: If the Assign cage numbers check box is checked in Boarding defaults, a cage number must be assigned before the client can be checked in.
  4. Click Check-in.
    • The reservation status will be changed to checked-in.
    • Based on the selected reservation type, the Check-in Report and/or other documents will print automatically.
    • Checking in the reservation will check in all patients on the selected reservation.

Note: If you try to check-in a boarding reservation on a different date than the scheduled check-in date, a warning message will display.

  • To check-in the reservation, change the Arrival date and click Check-in again.
  • If you check-in or check-out a reservation within one day of its scheduled date, a message displays asking if you want to use the original scheduled date. Select Yes to use the original date or select No to change it to the current date.

Check out a boarding reservation

Navigate to Toolbar > Reservation list.

  1. Locate the reservation in the Reservation List.
    • If needed, in the Client ID field, type the ID of the client whose reservation should be checked in or press F2 to select from a list. A list of all of the client’s reservations is displayed.
  2. Do one of the following:
    • Right-click on the reservation and click Update from the menu.
    • Click (highlight) the reservation and click the Update button.
  3. Review the information for each patient, ensuring it’s correct: boarding instructions, grooming appointment items, boarding items.
  4. Make any necessary changes and click Check-out.
  5. The invoice items from all patients boarded during this stay will be transferred to the Patient Visit List.
    • Navigate to Patient Visit list for the patient. Click Transfer.
    • The boarding and grooming charges for the patient will be transferred from the Patient Visit List to the invoice. Complete invoicing for the patient or save the invoice to be posted later.

Note: If you check-in or check-out a reservation within one day of its scheduled date, a message displays asking if you want to use the original scheduled date. Select Yes to use the original date or select No to change it to the current date.

Print boarding documents

Cornerstone Boarding and Grooming comes with the following four sample boarding documents that you can modify to meet the needs of your boarding facility.

  • Boarding release form
  • Cage card
  • Cage label
  • Boarding activity sheet

These documents can be modified or new documents can be created. Based on the reservation type, documents can be printed automatically when the boarding reservation is checked in or print documents using these steps.

Navigate to Activities > Boarding > Print Documents.

  1. In the Doc ID field, enter the ID of the document you want to print or press F2 to select from the Document Template List.
  2. If needed, select the reservation status or statuses, for which to print the document.
  3. Select the dates for which you want to print documents by clicking in the Arrival between and/or Departure between check boxes. Select the dates for either or both, as needed.
  4. Select the Cage type from the drop-down list or leave at [All].
  5. Select Reservation type from the drop-down list or leave at [All].
  6. The patients whose reservations match your criteria are displayed in the list. You can print the document for one, all, or several patients on the list.
    • To print documents for some of the patients, click (highlight) the patients that the document should be printed for.
    • To print the documents for all of the patients, do not highlight any patients.
  7. Click OK. If no patients were highlighted, the document will be printed for all patients on the list.
  8. When finished, click Close.

Check in and out grooming appointments

Grooming appointments are not automatically checked in or checked out when you check in/out a boarding reservation. Grooming appointments must be checked in/out separately from the Appointment Scheduler or Patient Clipboard. Review check patients in and out for more information.

You can also use the Census List or Daily planner to check appointments in and out.
