Daily Planner
The Daily Planner is a one-stop screen, designed to manage information pertaining to patients currently being seen at the practice. From the Daily Planner, you can view and work with:
- Scheduled and no-show appointments
- Scheduled and pending call backs
- Open laboratory requests, recently received results (including VetConnect PLUS results), and laboratory call backs
- Checked-in patients
- Tentative and draft medical notes
- Tentative and draft correspondence
- Patient Visit Lists
- Open (saved) invoices
Before you start
- Daily Planner
- Appointment – Update Appointments
- Appointment – Check In/Out Appointments
- List access for each tab/right-click menu
Access and Navigation
Navigate to Toolbar > Daily Planner > select a tab.

Do any of the following to adjust information display based on staff ID:
- Enter a new Staff ID or F2 to select from the Staff List. The staff ID defaults to logged in user.
- Select View for all staff to view information on the tabs for all staff, not just the logged in user.
- Select a tab.
- All Daily Planner tabs that have patient detail rows, except for the Invoices tab, display the patient status for inactive (I) or deceased (D) patients.
- The patient’s hospital status (Ready to go Home, Inpatient, etc.) is also displayed on the Checked-in and Patient Visit List tabs.
- Adjust date(s), when available, by:
- Entering a new date or F2 to select from calendar.
- Clicking single arrows to advance or go back a day.
- Clicking double arrows to advance or go back a week.
- Adjust information sorting by clicking the appropriate column header.
- Right-click on a line item to display a list of available menu options. Note: All tabs have a Patient Clipboard option.
- Click Refresh to update with most recent information.
- Click Close to exit the Daily Planner.
Appointments tab

The Appointments tab displays:
- Appointment date/time
- Client ID and appointment status
- Client Name and Reason for Visit
- Patient ID and Room
- Patient name and status, if inactive (I) or deceased (D); and Staff Name.
- Appointment notes
Do any of the following to change the display:
- Adjust date(s) to display by:
- Entering a new date or F2 to select from calendar.
- Click single arrows to advance or go back a day.
- Click double arrows to advance or go back a week.
- Adjust display as needed by clicking any column header.
Select an appointment row and do any of the following:
- Hover over note icon to read appointment notes.
- Right-click on an appointment to:
- Update appointment information
- Check a patient in
- Open the Patient Clipboard
Note: Click Refresh to update the Daily Planner with the most recent information.
Call Backs tab
View and complete reminder call backs that are scheduled (open) or pending.

The Call backs tab displays:
- Client ID
- Client name and phone and name
- Patient ID
- Patient name and status: Inactive (I) or deceased (D)
- Staff name and the reminder item prompting the call back and call back notes
- Date
- Status of the callback
Do any of the following:
- Adjust display as needed by adjusting dates or clicking any column header.
- Select a row and hover over a status with an ellipsis (3 dots) to read call back notes.
- Right-click on a call back to:
- Update call back information.
- Delete an open status call back.
- Add a note about the call back and update status.
- Change the date of the call back.
- Open the Patient Clipboard.
- Refresh the information.
Diagnostics tab
Manage many of your laboratory-related tasks in Cornerstone, including review of laboratory results and reports, VetConnect Plus results, and laboratory call backs.

The Diagnostic tab displays:
- Patient ID and owner name
- Patient name
- Practice ID
- Lab ID and requisition ID
- Lab Type (completed, pending, etc.) and template
- Date and staff ID
- Call back status
- The Call Backs columns (Status, Date and Staff ID) allow you to keep track of lab call backs at a glance and access call back options with a single click.
- For completed and posted laboratory results, you can generate a call back immediately or schedule a call back for a specific staff member and date.
- Call Backs and Date
- Staff ID for call back
Adjust display as needed by:
- Adjusting dates.
- Selecting/clearing any of the following:
- Posted results
- Lab result types
- Hide preliminary results
- Select a practice or choose All practices. This is for Multi-location single database (MLSD) configured practices only. The practice defaults to the logged in practice.
- Clicking any column header.
Right-click on a line to:
- Update a lab request, lab result or call back
- Open the Patient Clipboard.
- Refresh the information.
Note: available right-click menu options based on result type selected
Review laboratory results
- Double-click a line to review results for completed or posted tests.
- From the VetConnect PLUS tab (IDEXX results only), features such as graphing, clinical decision support, sharing, printing, and emailing are available.
- Call backs can also be performed or scheduled from any of the lab result tabs.
- Laboratory results and client-friendly reports that you share from IDEXX VetConnect PLUS within Cornerstone can be viewed from the VetConnect PLUS communications log. They are not viewable elsewhere in Cornerstone.
Laboratory call backs

In the Call Backs Status column, the status is indicated on the button. When reviewing or updating the status, use the following definitions as your guide:
- Blank: A call back has not been performed or scheduled (created) for the laboratory result.
- Open: A call back has been scheduled (created), but the client has not yet been contacted.
- Pending: A first call back has been initiated (e.g., called and left message) and notes have been added, but this call back has not yet been completed.
- Completed: The client has been contacted, notes have been added, and no further call backs are needed.
Record a first call back immediately for a laboratory result

- Click the blank status button associated with the result and select Call now.
- All phone numbers for the client are provided near the top of the Call now dialog box, with the primary number at the top of the list. Scroll as needed to see additional numbers.
- If the same patient’s call back is open on another workstation, a warning will be displayed, and any changes will not be saved.
- Enter recording staff ID.
- Update status to Pending or Completed, if applicable. Open and Pending status lab call backs also display on the Call Backs tab until completed. Call backs with notes display with an ellipsis (3 dots).
- Enter notes or click Select Note to insert a premade note entry, modifying as needed.
- Click Spell Check and address any spelling errors.
- Select Reassign this Call Back, if needed, and enter the desired staff and date to be assigned for processing the call back at a later date.
- Click OK. Notes are date timed stamped, and added to patient record when Pending or Completed status is selected.
Schedule a first call back for a laboratory result

- Click the blank status button associated with the result and select Schedule a call back.
- Enter the staff ID of the staff member you are scheduling to make the call.
- Set the date for the scheduled call back.
- To enter a note for this call back, type your note in the text box or click Select Note and select a note from a list of commonly used call back notes.
- Click Spell Check and address any spelling errors.
- Click OK.
Update an open or pending call back
- Click the Open or Pending status button associated with the result.
- All phone numbers for the client are provided near the top of the Note for dialog box, with the primary number at the top of the list.
- Scroll as needed to see additional numbers.
- If the same patient’s call back is open on another workstation, a warning will be displayed, and any changes will not be saved.
- Enter recording staff ID.
- Update status to Pending or Completed, if applicable.
- Open and Pending status lab call backs also display on the Call Backs tab until completed.
- Call backs with notes display with an ellipsis (3 dots).
- Enter notes or click Select Note to insert a premade note entry, modifying as needed.
- Click Spell Check and address any spelling errors.
- Click OK. Notes are date timed stamped, and added to patient record when Pending or Completed status is selected.
Note: Reassigned and scheduled call backs also appear on the Call Backs tab. Completing these call backs in either tab will update the other tab respectively.
View notes for a completed laboratory call back
Click the Completed status button associated with the result.
- All associated call back notes display in a view-only dialog box.
- Call back notes are also available in patient history.
Checked-in tab
View patients that are checked into the practice. Note: Boarding module check-ins can be viewed on the Census List (F3).

The Checked-In tab displays:
- Client ID
- Client name and reason for visit
- Patient ID and room
- Patient name and status if inactive (I) or deceased (D); and patient hospital status
- Check-in date and time and staff name
- Notes
- Alert Notes
Do any of the following:
- Adjust display as needed by clicking any column header.
- Select a row and hover over note icons to read appointment and check in alert notes.
- Right-click on an appointment to:
- Update check-in information or check patient out manually.
- Acknowledge/process any reason for visit, patient, or client alerts.
- Make any needed changes (ex: update appointment or alert notes, change patient hospital status, etc.)
- Click Update or Check Out.
- Check in report options may auto print or prompt to print another Check-in report when updating. If prompted, click Yes to print or No.
- Start a new or update existing open Physical Exam. Note: Not recommended. Use Medical Notes for optimal workflow.
- Open the Patient Clipboard.
- Refresh the information.
- Update check-in information or check patient out manually.
Medical Notes tab
View tentative and draft status medical notes to be completed.

The Medical Notes tab displays:
- Document create date
- Patient ID and template description
- Patient name and status if inactive (I) or deceased (D)
- Client ID and staff ID
- Client name and staff name
- Finalize date, document status and invoice items.
- Templates set to automatically finalize will display the finalize date in red if the date is past due. Note: Draft status documents will not auto-finalize.
- Invoice item number represents the number of items transferred to the Patient Visit List (PVL) out of the total listed items in the document’s invoice item pane.
Example: 7/9 indicates that 7 items are transferred and 9 items are listed on the invoice item pane.
Medical notes with an hx alert display in its designated color based on the template setup or selected at time of use.
Adjust display as needed by:
- Clicking any column header.
- Clearing/selecting Hide Whiteboard Notes.
Right-click on a medical note to:
- Update the document.
- If the document is open on another workstation a message will display.
- Finalize the selected document. This does not include classic medical notes or Whiteboard notes.
- Open the Patient Clipboard
- Refresh the information.
Correspondence tab
View tentative and draft status correspondence documents to be completed. Correspondence documents with an hx alert display in its designated color based on the template setup or selected at time of use.

The correspondence tab displays:
- Document create date
- Patient ID and template description and status
- Patient name and status if inactive (I) or deceased (D)
- Client ID and staff ID
- Client name and staff name
Do any of the following:
- Adjust display as needed by clicking any column header.
- Right-click on a document to:
- Update the document.
Note: If the document is open on another workstation a message will display.
- Finalize the selected document.
- Open the Patient Clipboard.
- Refresh the information.
- Update the document.
Patient Visit List tab
View pending charges on staff specific or all PVLs.

The Patient Visit List tab displays:
- Patient ID
- Patient name and status if inactive (I) or deceased (D)
- Patient hospital status: Ready to go (RTG), inpatient, etc.
- Client ID
- Client name
- Staff ID
- Staff name
- A quick view of the selected patient’s Patient Visit List.
Adjust display as needed by:
- Selecting View by staff or View by item classification. When viewing by item classification, Select the invoice item classification from the scrolling list.
- Clearing/selecting Display blue comment line.
- Clicking any column header.
With a patient row selected, preview their Patient Visit List (PVL). Use keyboard up and down arrows to scan through list of PVLs.
Right-click on a patient row to:
- Update their PVL, including transferring to invoice.
- Open the Patient Clipboard.
- Refresh the information.
Invoices tab
View a list of all open (saved) invoices.

The Invoices tab displays:
- Last saved date of the invoice
- Client ID
- Client Name
- Invoice ID
- Amount
- Invoice type, if using
- Indication if the invoice type is set to close at the end of the month
Adjust display as needed by:
- Clicking any column header.
Right-click on an invoice to:
- Update the invoice, including posting.
- Open the Patient Clipboard.
- Refresh the information.
Exam tab
View a list of open physical exam report cards.
Note: Use of the Exam feature is not recommended. For optimal workflow, use medical note templates.

The Physical Exam tab displays:
- Admitted date
- Patient ID
- Patient name and status if inactive (I) or deceased (D)
- Exam template with indicated system abnormals
- Client ID
- Client name and staff ID
- Tech ID
Adjust display as needed by:
- Clicking any column header.
Right-click on an exam to:
- Update the exam, including posting.
- Open the Patient Clipboard
- Refresh the information.
Additional Information
General
- The Daily Planner can be set as a login page in Staff Defaults.
- Selecting the Patient Clipboard from any Daily Planner tab’s patient right-click menu counts towards the number of open Patient Clipboards specified by workstation defaults.
- You will be prompted to close a Clipboard if this number is exceeded.
- Four is the number set by default, unless modified.
- Once an appointment is checked in, the information will display on the Daily Planner Checked-In tab.
- The staff ID of the Daily Planner corresponds to the staff ID field of the Appointment.
Example: If Dr. Smith’s staff ID is entered in the Staff ID field of an appointment, and that same Staff ID is entered on the Daily Planner, those are the appointments that display on the Appointments tab.
Call backs
The number of days that are displayed by default for call backs can be adjusted under Daily Planner Defaults.
Diagnostics
The number of days that are displayed by default for lab results and the invoice item used for lab call backs can be adjusted under Daily Planner Defaults.
Medical notes
- The document’s HX description will display as the template description, if used.
- The staff ID on a tentative or draft status document can be changed.
- Auto finalize date is based on the document create date and end of day processing.
Example: A document is added to a patient on a Friday and is set to 1 day. The practice is closed Saturday and Sunday The document will finalize after the end of day is processed on Monday and will display with a status of Closed in patient history. - American Animal Hospital Association (AAHA) accreditation standard M48.1 states electronic record systems automatically closes record notations after a user-specified period (maximum of 24 hours).
- If updating a document with a past due auto finalize date, you are prompted to reset the auto finalize date or set status to final.
- Manually closed documents display in patient history with a status of Final. Autofinalized documents display in patient history with a status of Closed.
- Once finalized, documents can be accessed from the patient’s history on the Patient Clipboard.
- An addendum can be added if needed.
- No other changes are permitted including adding or removing of invoice items and attachments.
- Classic medical notes can be manually finalized from the Daily Planner by selecting Update from the right-click menu and clicking Final.
- Whiteboard notes will self-finalize the day after a patient is checked out.
Correspondence
When a correspondence document is set to auto finalize the date does not display on the Daily Planner.
Patient Visit List
- The hospital statuses that are displayed apply to checked in patients only. Update the status by updating check in information.
- Tips:
- Review patient visit lists (PVLs) daily/weekly using. Select View for all staff and follow up on any unverified inventory or lingering charges, such as pending prescription pickups.
- Click the first name in the list and use the keyboard down arrow to quickly scan through PVLs, reviewing dates and charge sources.
- Sort the list by client name (related patients will display consecutively), to anticipate the number of PVL’s to transfer to the invoice.
- Reduce missed charges by using any of these methods to indicate the charges are ready for the invoice:
- Enter a comment on the blue line under the last line of the PVL.
Example: Ready to go or RTG
- Create a line item (no price) and enter it at the end of the PVL.
- Example: An item with the description of charges complete.
- The item can be removed from the invoice before posting, if needed.
- Create a patient hospital status of ready to go or (RTG) or similar.
- Change the patients status to this status, when they are ready to be invoiced.
- The status can be seen from both the Patient Visit List and the Checked-In tabs and on Census List.
- Enter a comment on the blue line under the last line of the PVL.
Exam
Use of the Exam feature is not recommended. For optimal workflow, use medical note templates.
