Appointment Scheduler: Create a scheduling note for staff

Use the Notes feature to communicate general scheduling information. Examples: closing time for holiday, doctor on vacation, lunch meeting details or potential waiting list clients. 

Before you start

  • Security access
    • Appointment – Appointment Note Setup
    • Appointment – Appointment Notes

Important!

  • Appointment Notes do not create onscreen alerts. Direct staff to read notes if they see the button bolded followed by ellipses (“…”). 

Add a scheduling note

  1. Navigate to Toolbar > Appointment Scheduler
  2. Click Notes.  
  3. Any future, current and past notes display. 
  4. Click New. 
  5. Modify the date, if needed. F2 to use the Calendar tool. 
  6. Enter note information. Use Ctrl + Enter to create a line break as needed. Up to 70 characters/spaces display without opening (modify) to read the entire note. 
  7. Click OK.  

Modify a scheduling note

  1. Navigate to Toolbar > Appointment Scheduler.
  2. Click Notes.  
  3. Select the note and click Modify or double-click.  
  4. Modify the date or note information. Use Ctrl + Enter to create a line break as needed. Up to 70 characters/spaces display without opening (modify) to read the entire note. 
  5. Click OK.

View a scheduling note

  1. Navigate to Toolbar > Appointment Scheduler.
  2. Click Notes.  
  3. Any future, current and past notes display. 

Delete a scheduling note

  1. Navigate to Toolbar > Appointment Scheduler
  2. Click Notes.  
  3. Select the note and click Delete.  
  4. Click Yes or No on the confirmation message. 

Additional Information

  • Existing notes display from newest created to oldest. The note dated the same as the date or the next future date to the selected Scheduler date is preselected. 
  • If a note for the selected Scheduler date exists, the button text will be bold followed by ellipses (“…”).  
  • While longer notes can be entered, up to 70 characters/spaces display without opening the note (modify) to read the entire note.
