Appointment Scheduler: Block unavailable appointment times

Appointment time slots can be blocked to prevent scheduling during times when staff members are unavailable. Learn how to make blocks:

  • For a specific room or all rooms in the selected suite for a specific day
  • Set up recurring blocks on a daily, weekly, or monthly basis for a single room

Setup

Create a single or group block

Navigate to Toolbar > Appointment Scheduler.

  1. Select a different suite, if needed.
  2. Select the day and beginning time slot to block.
  3. Right-click > Block or click Block.
  4. Enter an end time or the number of time units to block. The Time units and the To field will adjust accordingly.
  5. Select the specific room or All Rooms in Suite.
  6. Enter any notes, if needed. Notes appear in the first time slot of the block and, if a group block, in all instances.
  7. Click OK to complete the block.

    Note: If a conflict is found, a notice displays, and the block is not applied. Click OK.
    Example: An appointment is already scheduled or another block is in place.

Creating a recurring block

Note: When creating a recurring block starting from the first day of the occurrence. Example: If a doctor should have off every other Friday, starting September 29th, go to that date to start the block.

  1. Navigate to Toolbar > Appointment Scheduler.
  2. Select a different suite, if needed.
  3. Select the day and beginning time slot to block.
  4. Right-click > Block or click Block.
  5. Enter an end time or the number of time units to block. The Time units and the To field will adjust accordingly.
  6. Select the specific room to block.
  7. Enter any notes, if needed. Notes appear in the first time slot of all instances of the block recurrence.
  8. Select Recurring block.
  9. Select Daily, Weekly, or Monthly.
  10. Select the available frequency settings based on the selected time period.
  11. Select End after or End by and specify the number of occurrences to use or the end date.
  12. Click OK.

    Note: If a conflict is found, a notice displays, and the block is not applied. Click OK.
    Example: An appointment is already scheduled or another block is in place.

Update a block

  1. Navigate to Toolbar > Appointment Scheduler.
  2. Right-click the block and select Update.
      
  3. Modify the end time, number of time units, or notes, as needed.  
  4. Click OK.  

Delete a block

  1. Navigate to Toolbar > Appointment Scheduler.
  2. Right-click on the block and select Delete.  
  3. Based on the type of block (single or recurring), do one of the following: 
    • Single: Click Yes on the confirmation message.  
    • Recurring: select Delete all occurrences or Delete this one and then click OK. When deleting all occurrences, perform the deletion from any of the recurrences except the first day of the block.
